Who can attend
Administrative staff from research support services within the departments and administrative services, libraries and learning centers of Circle U. universities as well as higher education institutions of the Fédération Wallonie-Bruxelles.
What you can expect
Three days full of opportunities to meet and network with colleagues from Circle U., to get inspired, to share and to discuss best practices and, last but not least, to get to know UCLouvain.
For each topic, the opening presentation will be delivered by a staff member of UCLouvain. Each presentation will be followed by a panel leading to open discussions to share practices, experiences and ideas instrumental to achieving Circle U.'s goals.
Programme
Register by 4 November 2022
All applicants will receive a response shortly after the registration deadline, but no later than 8 November 2022.
A total of 36 places are available for members of Circle U. universities and 14 places for members of universities and colleges of the Fédération Wallonie-Bruxelles.
In the event of more applications than places available, participants will be selected on the basis of equal representation of all Circle U. universities.
Practical information
The Circle U. Staff Week is free of charge and the following is provided by UCLouvain:
- Coffee breaks on Wednesday, Thursday and Friday
- Lunch on Thursday and Friday
- Welcome dinner on Wednesday evening
- Cultural activities planned in the programme
Please note that participants are expected to cover the travel, accommodation and additional subsistence costs by themselves and to make the necessary travel and accommodation arrangements.
Erasmus Grant
You might be eligible to apply for a grant via the Erasmus+ Staff Mobility For Training. Please check your eligibility with your home university.
Entering Belgium
Passport and travel documents
- For British and Serbian citizens, if you are planning to travel to an EU country for a short-term stay (up to 90 days duration), you must meet the Schengen area rules.
Your passport must meet 2 requirements:
- less than 10 years old on the day you enter (check the \u2018date of issue\u2019)
- valid for at least 3 months after the day you plan to leave (check the \u2018expiry date\u2019)
Louvain-la-Neuve, not Louvain or Leuven
The main campus of UCLouvain is located in the town of Louvain-la-Neuve. Please do not make the confusion between Louvain-la-Neuve and Louvain (the translation in French of Leuven). Louvain-la-Neuve and Louvain/Leuven are two distinct towns separated by 30 km. Louvain-la-Neuve is located in Wallonia while Louvain/Leuven, home of the KULeuven campus, is located in Flanders.
Getting to Louvain-la-Neuve
From Brussels Airport, you should take a train to Brussels. We advise to stop at the station Brussels-Nord and take a train to Ottignies. You can also take a train at Brussels-Central, Brussels-Luxembourg, Brussels-Schuman. Once you arrive in Ottignies, take the urban train (same station) to Louvain-la-Neuve-Université.

From Brussels-South Charleroi Airport, we recommend to take a TEC bus to the train station of Charleroi-South and then a train to Ottignies. Once you arrive in Ottignies, take the urban train (same station) to Louvain-la-Neuve-Université.

Getting around in Louvain-la-Neuve
Louvain-la-Neuve is a mostly pedestrian town and cars are not allowed in the city centre. The conference will take place in the center of Louvain-la-Neuve, at the Aula Magna facilities located at Place Raymond Lemaire 1.
